A valuable member of our collaborative organization, the Communications Coordinator supports promotional efforts across all divisions of Waterville Creates (WC), including the Waterville Opera House (WOH), Maine Film Center (MFC), and Ticonic Gallery + Studios (TGS). Under the direction of the Director of Marketing + Communications and working very closely with the Marketing + Development Coordinator and all programming staff, the Coordinator actively, enthusiastically, and creatively promotes all of WC’s roughly 700 programs and events per year, while also raising the profile of Waterville as a destination for arts and culture. The successful candidate must balance a high volume of diverse content in a fast-paced environment while maintaining high standards of quality control.

 

Essential Duties/Responsibilities     

  • Works with the Director of Marketing + Communications to develop and implement strategies to promote WC’s, and by extension WOH, MFC, and TGS’s programming and organizational initiatives.
  • Collaborates with marketing and programming staff to develop engaging content that resonates across platforms like Facebook, Instagram, and YouTube, producing around 30 posts a week.
  • Develops, distributes, and provides analysis for 4–5 weekly and monthly e-newsletters. Daily e-newsletters, social media, and on-site coverage increases throughout the Maine International Film Festival (MIFF) in July.
  • Coordinates paid social media advertising for WC, WOH, MFC, and TGS programs and events.
  • Maintains WC’s branding standards in all advertising and marketing efforts.
  • Seeks opportunities to capture and share content that demonstrates the impact and community engagement of WC programs and events in real time.
  • Serves as a WC brand ambassador with high energy and enthusiasm, fearlessly tackling creative projects not limited to: hosting guests on camera, highlighting artists and performers in exciting ways, connecting with patrons at programs, and more.
  • Generates regular, detailed reports on email and social media statistics.
  • Maintains current database of press contacts. Distributes press releases.
  • Helps maintain institutional archive with photos, advertisements, promotional materials, news articles, print collateral, etc.
  • Serves as a community liaison and assists with promotion of partner events.
  • Provides event support as needed at WC sponsored events, including Waterville Rocks, MIFF, WOH productions, and Ticonic Gallery exhibitions.
  • Assists with administrative duties and special projects as required, as well as performs all other related duties as assigned.

 

Knowledge/Skills/Experience Requirements

 

  • Excellent written and verbal communication skills, as well as outstanding copywriting and proofreading skills.
  • Exceptional organizational and project management skills, as well as strong attention to detail. Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines.
  • Enthusiastic, flexible, and positive demeanor; creative problem solver and collaborative team player.
  • Firm grasp on various marketing platforms, channels, and best practices, including social, digital, and email marketing.
  • Must have strong analytical skills to analyze metrics and create reports.
  • Must have a high level of creativity.
  • Passion for and dedication to arts and culture, artists, and community initiatives.
  • Must be able to attend evening and weekend events as required, particularly for the purpose of generating social media content.
  • Must be proficient with Facebook, Instagram, and X (Twitter). Proficiency with Adobe Creative Cloud, Canva, and TikTok a plus.
  • Criminal background check required.
  • Valid Driver’s License required.

Reports to: President + CEO

The Director of Development is responsible for creating and overseeing the implementation of a comprehensive development plan to support the mission, programs, and long-term sustainability of Waterville Creates. In close collaboration with the leadership team, the Director of Development will directly manage individual giving programs, including annual giving, memberships, and planned giving, and provide additional support for foundation requests, corporate solicitations, and fundraising events. The Director of Development will work closely with the leadership team to identify and support funding needs and priorities and work with the Director of Marketing + Communications to ensure that all fundraising messaging is consistent with the Waterville Creates brand and fully integrated with its organizational storytelling.

 

Essential Duties/Responsibilities

  • Working closely with the leadership team, develops and oversees implementation of comprehensive annual and long-term development plan; monitors and evaluates the effectiveness of strategies and adjusts plans as needed to ensure goals are achieved.
  • Provides strategic leadership to further develop a robust individual giving program to support ongoing organizational sustainability and capital projects; designs strategies to increase donor engagement and annual giving at all levels, including major gifts and legacy giving, to ensure the long-term sustainability of the organization.
  • Works with the Executive Assistant to manage and maintain accurate donor records and ensure timely acknowledgements.
  • In consultation with the President + CEO, manages outside fundraising consultants to ensure success in meeting established timelines and goals.
  • Works with the leadership team and program staff to seek and prepare foundation, federal, and state grant proposals.
  • Works with the leadership team, the Marketing + Development Coordinator, and the board of directors to identify, assess, cultivate, solicit, and steward viable prospects, donors, sponsors, members, grant-makers, in-kind supporters, and partners.
  • Works closely with marketing staff and leadership to advance organizational storytelling and create compelling campaigns that effectively communicate WC’s mission, programs, and case for support to current and prospective donors and members.
  • Works with the Director of Marketing + Communications to develop external communications, including but not limited to fundraising appeals, annual reports, and donor acknowledgement materials.
  • Works with leadership and program staff to develop and implement special fundraising projects and campaigns.
  • Develops and nurtures a strong working relationship with the President + CEO and board of directors, presenting regular reports and sharing information to support their involvement in fundraising.
  • Serves as a visible ambassador for the mission, vision, and values of the organization.
  • Other duties as assigned; duties will require occasional weekend and evening work.

 

Experience Requirements 

  • Demonstrated capacity to achieve contributed revenue goals in alignment with WC’s mission, vision, and values. A confident fundraiser, the Director will be knowledgeable of strategies and best practices to secure strategic gifts from individuals and institutional donors.
  • People-oriented leader who enjoys engaging and communicating with multiple constituencies.
  • An innate multi-tasker, the successful candidate is highly organized, has excellent time management skills and ability to prioritize and adapts to changing situations with ease and enthusiasm.
  • Proven ability to build trust, create a sense of purpose and direction, and influence the team to take action towards a common vision and goal.
  • Excellent oral and written communication skills.
  • Exceptional interpersonal skills with capacity to leverage relationships with donors, handle sensitive issues with tact and discretion, and communicate with people of diverse backgrounds.
  • Accepts new ideas and approaches, adapts to situational demands by stepping outside of comfort zones, evaluates how certain obstacles impact results, and focuses on positive results.
  • Willingness to evaluate personal action, learn from mistakes, and accept personal responsibility for outcomes.
  • Qualified applicants must have 3 or more years of development experience with a nonprofit organization. Leading candidates will have demonstrable experience in individual and major gifts portfolio management, as well as a proven track record of achieving contributed revenue targets.
  • The ideal candidate will also have a passion for the arts and community-centered initiatives.

Reports to:  President + CEO

The Executive Assistant serves as a valuable member of the Waterville Creates (WC) organization and provides critical administrative and organizational support to the President + CEO, the Director of Development, and the leadership team of WC. This position serves as a key administrator and provides high level support for board of directors’ and committee meetings and special projects as needed.  The Executive Assistant works closely with the President + CEO to ensure institutional priorities are met, organizational goals are achieved, and best practices are met.

 

Essential Duties/Responsibilities     

  • Coordinates schedule, meetings, and logistics on behalf of the President + CEO.
  • Supports the leadership team and Director of Development with coordination of meeting logistics, including scheduling, preparation, and distribution of meeting agendas.
  • Prepares and circulates materials and records minutes for board, committee, and all-staff meetings. Upon review, distributes minutes in a timely manner to board and committee members.
  • On behalf of President + CEO, gathers and compiles staff reports in advance of bimonthly board meetings.
  • Provides general research and data support to the Director of Development for annual reports, grant applications, development planning, donor prospecting, and other projects as requested.
  • Provides support for internal and external survey development, collection, and analysis, including annual board self-assessment employee survey, and patron survey.
  • Maintains updated board of directors’ roster, including contact information, board term dates, and conflict disclosure records.
  • Prepares donor, sponsor, and grant acknowledgements and membership renewal and acknowledgement letters.
  • Coordinates scheduling of all-staff training and professional development opportunities.
  • Provides additional support as needed for WC events and activities.
  • Performs all other related duties as assigned.

 

Knowledge/Skills/Experience Requirements

  • A bachelor’s degree, associate’s degree, or 4 years’ experience in providing executive administrative support services.
  • Passion for and dedication to arts, culture, artists, and community initiatives.
  • Exceptional writing ability, editing skills, ability to work independently and as part of a collaborative team is required.
  • Excellent time management and ability to meet as well as anticipate deadlines.
  • Ability to handle multiple assignments simultaneously and prioritize assignments; exceptional aptitude for creative thinking and problem-solving skills are essential.
  • Outstanding tact and discretion; ability to work enthusiastically with a diverse range of staff and stakeholders.
  • Ability to manage strict confidentiality with all materials is essential

Reports to: Camp Director, Waterville Creates

The Lead Counselor ensures a safe and welcoming environment for campers and camp staff. Reporting to the Camp Director and working closely with camp counselors, the Lead communicates clearly and professionally with campers, their caregivers, WC, and Missoula staff. The Lead Counselor understands all theatre camp procedures and policies and ensures all participants adhere to these guidelines while simultaneously providing an inclusive and supportive environment for all campers. The Lead Counselor is an enthusiastic, collaborative team member with a keen interest in theatre and the creative arts in general.

About Theatre Camp
Each year, Waterville Opera House partners with Missoula Children’s Theatre to offer week-long theatre camp sessions in the winter and summer. The week includes auditions and rehearsals which provide children in Grades 1-8 with the opportunity to learn about the theatrical process. Camp concludes on Saturday afternoon with a fully realized performance, including scenery, costumes, and props.

Essential Duties/Responsibilities

  • Maintains a safe environment for campers and staff.
  • Oversees and organizes theatre camp counselors schedule and responsibilities.
  • Manages camper drop off and pick up each day.
  • Leads warm up camper activities, theatre games, workshops.
  • Understands special camper needs (behavioral, allergies, epi-pens, etc.)
  • Has working knowledge of theatre camp policies + procedures.
  • Monitors camper behavior, including disciplinary action if necessary.
  • Organizes nametags, costume bags, t-shirts.
  • Orchestrates costume strike procedure with counselors and campers.
  • Assists with final camper check out.
  • Attends pre and post camp planning meetings with WC staff.

  • Experience working with children

environment for all participants. The Camp Counselor is an enthusiastic, collaborative team member
with a keen interest in theatre and the creative arts in general.
